InForm Rugby — InForm Ventures
Version: 14 October 2026
These terms apply to InForm Rugby's digital products and related services. They are intended to provide a common contractual framework while allowing customers to select the products and services that best suit their needs.

In these terms, "we", "us" and "our" refer to InForm Ventures, trading as InForm Rugby. "Customer" or "you" refers to the individual or organisation entering into an agreement with us.
A "consumer" is a natural person acting outside their trade, business or profession. Consumers retain all rights provided by mandatory consumer protection legislation.
2. Products, services and agreements
2.1 Our offering
InForm Rugby develops and supplies digital tools and related services intended to support rugby match observation, video analysis, performance understanding and evidence-informed coaching decisions.
Our offering may include:
- Individual products, including Solo Accounts for personal analysis and review.
- Club and team products, including shared analysis, collaborative workflows, reporting and access management.
- Additional features and services, including enhanced insights, reporting and other optional functionality.
- Practical support services, including product demonstrations, training, implementation assistance, analysis workshops and facilitated sessions supporting existing coaching activities.
Customers may select from the products and services available at the time of purchase, subject to applicable eligibility requirements, compatibility and product limitations.
2.2 Product-specific entitlements
The functionality, usage limits, account permissions, collaboration options, subscription period and price of each product are described in its applicable product description, checkout information, order confirmation or individually agreed quotation.
Not every feature is included in every product. In particular, individual products do not automatically include shared analysis, club management or collaborative functionality.
The general provisions of these terms apply to all customers. Provisions concerning particular products or services apply only where relevant to the customer's agreement.
2.3 Formation of agreements
Creating a free account or requesting information does not, by itself, create a paid subscription.
A paid digital subscription is concluded when the customer completes the applicable order process and the order is accepted and confirmed.
A separately arranged training, demonstration or support service is agreed when both parties confirm its scope, price, timing and relevant conditions in writing.
Individually agreed written terms take precedence over these general terms where legally permitted.
3. Pricing, payment and subscriptions
3.1 Prices and billing
Prices are stated in euros. Prices presented to consumers include applicable VAT. Any taxes, additional charges or billing conditions applicable to business customers will be clearly communicated before purchase.
Subscription prices, billing frequency, included features and any minimum commitment are displayed before the customer places an order.
Payments and subscription billing are administered through Stripe or another payment provider identified during checkout. InForm Rugby does not directly store customers' full payment card details.
3.2 Subscription duration and renewal
Subscriptions are offered for the periods stated in the relevant product description or order confirmation.
Unless expressly stated otherwise, a recurring subscription renews automatically for its agreed billing period until cancelled.
Any fixed minimum term, renewal conditions and applicable cancellation notice are communicated before purchase. Mandatory consumer cancellation rights remain unaffected.
3.3 Cancellation of subscriptions
Customers can cancel recurring subscriptions themselves through the subscription or billing section of their InForm Rugby account, using the integrated Stripe customer billing portal.
Cancellation stops future automatic renewal, subject to any valid minimum contractual term. Unless otherwise required by law or expressly agreed, access to paid features continues until the end of the period already paid for.
If self-service cancellation is unavailable or unsuccessful, customers may submit a cancellation request by emailing support@informrugby.com or using the cancellation/contact form available on our website. The withdrawal form may also be used to communicate an unequivocal cancellation request, provided the customer's intention is clear.
We aim to process manual cancellation requests within two working days of receipt and will confirm the effective cancellation date in writing.
Requests submitted shortly before a scheduled renewal may not be processed before the payment system initiates the next charge. However, the time at which a valid cancellation request reaches us determines its legal effect, not the time at which we complete our internal administration. We will correct or refund charges made after a cancellation should legally have taken effect.
Cancellation is free of administrative charges and does not affect statutory withdrawal, termination or refund rights.
3.4 Failed payments
Where a payment fails, we may request an updated payment method or temporarily restrict paid functionality following reasonable notice, where appropriate.
Any restrictions will be proportionate and will not remove mandatory customer rights.
4. Consumer right of withdrawal
Consumers who enter into an eligible distance contract generally have the right to withdraw within fourteen days after conclusion of the contract, without giving a reason.
A consumer may exercise this right using our online withdrawal procedure, the standard withdrawal form, or any other unequivocal statement sent by email or post.
A withdrawal statement sent before the statutory deadline is sufficient. We will acknowledge withdrawal requests submitted through our online procedure.
Where withdrawal is valid, we will refund payments due within fourteen days of receiving the withdrawal statement, using the original payment method unless otherwise expressly agreed.
If a consumer expressly requests that a service begin during the withdrawal period, a proportionate payment may be due for services already performed, but only where the applicable legal requirements have been satisfied.
The loss of a statutory withdrawal right for a fully performed service or qualifying digital content requires the specific prior consent and acknowledgement prescribed by law. Acceptance of these general terms alone does not constitute such consent.
Certain statutory exceptions may apply to particular services or arrangements. Any applicable exception will be communicated before the contract is concluded.
Ordinary subscription cancellation under Section 3 remains separate from the statutory right of withdrawal.
5. Training, demonstrations and analysis support
5.1 Purpose and scope
InForm Rugby may provide practical sessions to demonstrate its products, train customers in their effective use, facilitate rugby video analysis or help teams and clubs apply analysis to their existing coaching processes.
These activities are intended to support, inform and complement the work of existing coaches and trainers, rather than replace their responsibilities or constitute an undertaking to manage a team's sporting programme.
Our experience and qualifications in rugby coaching may inform the delivery of these services, but do not imply that every engagement includes direct rugby coaching or responsibility for sporting outcomes.
The precise activities, deliverables, duration, location, fees and any necessary equipment or preparation will be agreed in writing before the engagement.
5.2 Responsibility during practical sessions
Where a session involves players, on-field activities or practical rugby instruction, the participating team or club must ensure that its regular coach(es) and/or trainer(s) are present throughout the relevant activities.
The team's designated coach or trainer retains the lead role and primary responsibility for sporting decisions, participant supervision, training intensity, player welfare, safeguarding and the conduct of rugby activities.
InForm Rugby personnel may provide demonstrations, observations, recommendations or agreed supporting instruction, but do not assume the position of head coach or the club's supervisory responsibilities merely by participating in a session.
Nothing in this provision excludes responsibility or liability that InForm Rugby cannot lawfully exclude, including responsibility for its own acts or omissions.
5.3 Practical arrangements and safety
The customer is responsible for arranging suitable facilities, necessary permissions, appropriate participant supervision and relevant safeguarding arrangements.
Both parties must communicate reasonably foreseeable safety concerns. We may pause or reschedule activities where conditions present an unacceptable safety risk.
Our analysis and recommendations are informational and do not constitute medical advice or guarantee any particular sporting result.
5.4 Changes and cancellation
Changes to agreed sessions should be requested as early as reasonably possible.
Any applicable cancellation charges or rescheduling conditions will be disclosed in the accepted quotation or booking terms, subject to mandatory law and requirements of fairness and reasonableness.
If we cannot provide an agreed service, we will seek a mutually acceptable alternative or provide the refund or other remedy required by the agreement and applicable law.
6. Accounts, access and permitted use
Customers must provide accurate account information, protect their login credentials and ensure that authorised users comply with applicable account and access conditions.
Account permissions and collaboration rights depend on the products purchased and the access granted by the relevant account or organisation administrator.
Customers must only use, analyse or share recordings, images, player information and other materials where they have the necessary rights and lawful basis.
Customers must respect applicable privacy, intellectual property, image rights and safeguarding requirements, particularly when working with children or young players.
Sensitive medical information must not be entered into general analysis fields or notes unless expressly supported by an appropriate, legally compliant service arrangement.
Customers must not misuse the platform, attempt unauthorised access, interfere with its operation or use it for unlawful surveillance or other unlawful purposes.
7. Video sources, analysis and intellectual property
InForm Rugby is primarily an analysis platform and does not ordinarily host, store or distribute original match video recordings.
Where supported, customers may use local video files or compatible third-party video sources for playback and analysis. Local video files remain on the customer's device and are not uploaded to our servers as part of ordinary playback.
Third-party video sources remain subject to their providers' terms, technical restrictions and availability.
Customers retain their applicable rights in materials and analysis content they contribute. They grant InForm Rugby the limited rights necessary to store, process, display and otherwise handle that content for the provision of the agreed services.
The InForm Rugby software, design, branding, documentation and proprietary functionality remain the intellectual property of InForm Ventures or the respective rights holders.
Customers receive a limited right to use the purchased products for the applicable subscription period and within their agreed scope.
8. Data ownership, retention and deletion
8.1 Customer data
Customers retain their applicable rights in analysis data and other content contributed through the platform.
Access to particular records may be shared between authorised users or organisations where the relevant product supports collaboration.
Cancellation of one user's subscription does not automatically terminate another user's or organisation's independent contractual rights to shared information.
8.2 Retention after cancellation
Where a customer's final relevant membership or subscription has ended, and no other active product, authorised collaboration or lawful purpose requires continued retention, the associated inactive analysis data may be retained for a limited period to facilitate reactivation, recovery or export.
Our intended maximum retention period for such inactive analysis data is twelve months after the end of the last relevant membership or subscription.
Following that period, data no longer required for a lawful purpose will be deleted or irreversibly anonymised through our routine data maintenance processes. Deletion from active systems will take place no later than the end of that period, subject to any legally justified exception. Residual copies in backups will be removed according to a documented, limited backup retention schedule.
Once permanently deleted, the data cannot be recovered.
Where personal data is concerned, this retention policy is subject to applicable data protection legislation, including rights to earlier erasure where those rights apply. Data will not be retained merely because these terms permit a maximum period if continued retention is no longer lawful or necessary.
8.3 Exceptions and shared information
Certain records may need to be retained for legal, accounting, security, dispute resolution or other lawful purposes.
Where information forms part of an active club, team or collaborative arrangement, its retention and accessibility depend on the applicable contractual rights, privacy obligations and lawful processing arrangements.
A customer cannot require deletion of another party's independently held information merely by cancelling their own membership. This does not limit applicable personal-data rights.
8.4 Export and recovery
Where export functionality is included in a product, customers may use it during their period of authorised access.
Customers are encouraged to export any information they wish to retain before their access expires. Any mandatory legal rights to retrieve personal data or other content remain unaffected.
The privacy notice provides further details about personal-data categories, retention, deletion and individual rights.
9. Service quality, maintenance and availability
We aim to provide our products with reasonable care and in accordance with their agreed descriptions.
We may perform maintenance, correct defects and introduce updates necessary for security, compatibility and service conformity.
Where practicable, we will provide reasonable notice of planned interruptions that materially affect access.
We do not guarantee uninterrupted availability in all circumstances, including where third-party systems or external video providers are unavailable. This does not limit mandatory rights concerning the conformity of digital services.
Rugby analysis results depend on the observations, classifications and information entered by users. Reports and insights should be interpreted in their sporting context and are intended to support, rather than replace, professional or coaching judgement.
Customers retain all applicable statutory remedies for defective or non-conforming products and services.
10. Liability
Each party is responsible for its obligations under the agreement and applicable law.
InForm Rugby does not guarantee sporting results, competitive improvements or the accuracy of observations supplied by customers or other platform users.
We are not responsible for decisions made independently by clubs, coaches or other users solely because they have consulted information produced through the platform.
Nothing in these terms excludes or restricts liability where such exclusion or restriction is prohibited by applicable law, including mandatory consumer rights or liability for intentional misconduct.
Any limitations of liability applicable to business customers must be reasonable, proportionate and consistent with applicable law and individually agreed contractual provisions.
Both parties must take reasonable steps to prevent or limit avoidable losses.
Events outside a party's reasonable control may delay performance, without prejudice to applicable statutory termination, refund or compensation rights.
11. Privacy and data protection
Our privacy notice explains how personal data is collected, used, stored, shared and deleted, and how individuals may exercise their rights.
The respective responsibilities of InForm Rugby, clubs, teams and individual users depend on the nature of the service and the purposes for which personal data is processed.
Where InForm Rugby processes personal data on behalf of a club or other organisation, the parties will enter into an appropriate data processing agreement where required by law.
Customers must establish an appropriate lawful basis for processing and sharing personal information they contribute to the platform.
Acceptance of these general terms does not constitute consent to optional marketing, tracking or other processing activities requiring separate consent.
12. Suspension and changes to services
We may temporarily restrict or suspend access where reasonably necessary to address material contractual breaches, security threats, unlawful activity or persistent payment failures.
Where appropriate, customers will receive notice and an opportunity to remedy the issue.
We may improve or modify our products over time, but will not arbitrarily remove agreed functionality or impose material adverse changes contrary to applicable law.
Material changes to subscription prices, contractual conditions or service functionality will be communicated in advance, with any consent, cancellation or other rights required by law.
Publication of revised general terms does not automatically amend an existing agreement.
13. Complaints and contact
Customers may submit questions, complaints, cancellation requests or other contractual communications through our published contact channels.
Email: support@informrugby.com
We will acknowledge complaints within a reasonable period and seek to resolve them fairly and promptly.
Customers retain access to any statutory complaint, dispute resolution or judicial remedies available to them.
14. Applicable law and final provisions
These terms are governed by Dutch law.
Where a consumer resides in another country and mandatory consumer protections of that country apply, this choice of law does not deprive the consumer of those protections.
Disputes may be brought before the courts competent under applicable law. No provision in these terms imposes an exclusive Dutch jurisdiction on consumers contrary to mandatory legal rules.
If a provision is invalid or unenforceable, the remaining provisions continue to apply insofar as legally permitted.
The applicable version of these terms and the customer's agreed order or quotation will be made available in a form that can be saved and retained.
